Data Privacy Notice

The new General Data Protection Regulation (GDPR) will come into force on 25 May 2018. It will replace the existing data protection framework in the UK and Europe. The regulation imposes new obligations on those who hold and process personal data. as a Club we have reviewed and revised our privacy policy to ensure compliance with GDPR.

What Information We Hold

Basic Membership Information

Under our Articles of Association, Linlithgow Rugby Club Ltd is clearly defined as a MEMBER based Company / Club. As such, the DIRECTORS, appointed by the MEMBERS are required to hold and look after the personal data of MEMBERS in order to ensure that both appropriate membership subscriptions are levied and that all MEMBERS are accorded full rights under the Articles of Association of the Company / Club. This includes the ability to communicate directly to all MEMBERS to keep them updated as to the operation and running of the Company / Club. Membership records are maintained by the MEMBERSHIP SECRETARY, a volunteer appointed by the DIRECTORS to carry out this role. The information will only be shared with the Company DIRECTORS and will only be used in support of the operation of the Company in line with its main objectives (OBJECTS). The information will NOT be shared with any third party for any purpose.

Enhanced Information Regarding Active Coaches and Volunteers

The Company / Club is required to hold personal information on its active coaches and volunteers, in line with the requirements of the Protection of Vulnerable Groups (Scotland) Act 2007 and in accordance with the requirements of our Sports Governing body – Scottish Rugby Union Ltd. Relevant personal information on active coaches and volunteers will be shared with our governing body as part of our terms of membership of the Scottish Rugby Union. It will not be shared with other parties.

General Contact Information

Linlithgow Rugby Club operates a MailChimp communication system to provide regular newsletter updates to all members who subscribe. Members may subscribe to this service through a link on the Club website by providing their email address. They may also unsubscribe at any time by clicking the unsubscribe link at the foot of each communication. We also have a Club website, Twitter account and Facebook page where we post general information about the Club.
